When a real, immovable deadline is bearing down, one with actual consequences attached, it’s easy to either freeze completely or busy yourself with a flurry of activity that isn’t actually the important stuff. Here’s a simple three-part system for cutting through that and making sure the essentials get done first.
Open the notes app on your phone rather than reaching for paper and pencil. Paper gets left behind, and a photo of a handwritten list offers no way to check things off as they’re completed. A notes app with checkable bubbles solves both problems.
H is for have-to: the absolute musts, the things that need to happen no matter what. A is for aspire-to: the extras that would be genuinely nice to accomplish if there were more time or energy, the “good mom” touches that Pinterest and Instagram make feel mandatory but really aren’t. D is for distraction: the mindless, often unnecessary tasks a brain reaches for when it’s overwhelmed or frozen and just needs something to do with its hands.
List every task that comes to mind in no particular order, don’t worry about sequencing anything. Once it’s all out of your head and onto the list, go back and highlight: green for have-tos, yellow or orange for aspirations, red or pink for distractions. Green means go, tackle these first. Yellow is a pause: only reach for one of these if you genuinely need a break from the have-tos, and remind yourself to return to green afterward. Red is a stop-and-think: only touch these if your brain is genuinely frozen and needs something mindless to break the spin.
Because nothing is numbered, there’s no getting stuck on item three and stalling out on everything behind it. Any green can be tackled in any order, and completed items simply stay checked off at the bottom, a visible, growing record of real progress. New tasks can be added the moment they come to mind, keeping the list a living, evolving picture of what’s left rather than a rigid sequence.
Guilt over not having started sooner, shame about falling behind, worry about not finishing everything, none of that deserves a place on this list. If those feelings creep in, that’s exactly the moment to grab a red and do something mindless for a few minutes, not to spiral. Most of what’s on a have-to list isn’t truly life-or-death. A forgotten toiletry or a missed detail can almost always be fixed in the moment, a nearby store solves more problems than it seems like it will in the middle of the stress.
Next time you’re facing a real deadline with too much to track, open your phone’s notes app and brain-dump every task tied to it, in any order. Then go back and highlight: green for must-dos, yellow for nice-to-haves, red for mindless distractions to use sparingly. Work the greens first, and let the list itself, not guilt, guide what happens next.
